- Shift Scheduling Processes
Definitions
Group scheduling employee shifts are scheduled to shift codes, not a start and stop time.
- Shift Code: An assigned code for a shift with a designated start and stop time, and duration.
- Shift Premium: Paid when an employee is entitled to receive additional compensation for working during non-standard hours.
- Non-standard hours: Afternoons, nights, weekends, or holidays.
Shift Windows for Pay Premiums
| Pay Premium | Time |
| Afternoon | 16:00 - 24:00 |
| Night | 24:00 – 08:00 |
| Weekend | 00:01 Saturday – 24:00 Sunday |
**Refer to the Employee Shift Code Catalogue to see which codes incur shift premiums.
Shift Scheduling Best Practice
- Shift codes must reflect period of work
- Shift code must reflect the shift’s start time
- Creating / updating a shift: Never input a start / stop time when creating or updating a shift.
- Split Shifts: Require a 2nd shift to be added. Daytime hours cannot be combined with afternoon/evening hours.
- Extra Hours: Can be added to a shift by adjusting duration and/or shift code, ONLY when the hours fall within the same shift window (e.g.: Afternoon). Alternatively, the shift code can be replaced by another existing shift code that captures the extra hours being added to the shift.
Workflow 1: Split Shift Scheduling
The following workflow details the steps you should follow when adding additional hours to an employee who is scheduled into a shift that has a conflicting shift pay premium (e.g. Daytime hours vs. afternoon/evening hours).
Workflow 2: Adding Extra Hours to a Shift
The following workflow details the steps you should follow when adding additional hours to an employee who is scheduled into a shift.
Procura Script: Add Times to Shift Visits
An automated script is run daily at 6:00am to add the Start/Stop times to yesterday’s visits with shift codes. This will guarantee that the applicable shift pay premiums are applied to the corresponding shifts codes so that CHWs are properly compensated.
Note: When using a shift code, never input a start/stop time as it will be overwritten.
